1. Describe the problem:
I am the administrator of an operational team, and we do not have a centralized, agile, and accurate way to record the tasks they perform, their exact schedules, and their attendance during the shift.
The staff communicates via radio, phone, or messages to report their actions, so monitoring depends entirely on the data entry I do from my station.
However, current tools do not meet the basic needs of the operation.
There is no single dashboard that allows me to keep automated time tracking. As a result, I must manually record start and end times, which increases the margin of error and makes the information inaccurate.
There are alternatives like project or task management software, but they are not suitable for this use case. They require each worker to have individual access to the platform, which is unfeasible and inefficient for our setup, where only I (the administrator) centralize and log the information.
Another major issue is attendance auditing. I need to conduct periodic roll calls to know which operative is standing by. By doing this manually on paper or in Excel, there is no exact record of the time each person was marked present, making it difficult to know who is truly available.
Furthermore, the system is not designed for analysis. Generating statistics on completed tasks or average response times is practically impossible because the information is unorganized.
Because of this, daily management becomes a stressful process. Extra time and effort are invested just trying to match schedules and generate reports that often end up with approximate or incomplete data.

2. How often does the problem occur?
Practically every day, and multiple times during each shift. Every time an operative reports the start or end of an activity, or when a roll call is required, I face the friction of manually logging the times.
3. What attempts have you made to solve the problem?
There is no complete technological solution implemented. At the moment, the only option is to adapt: using spreadsheets, physical notebooks, or chats, constantly checking the clock to write down times, and assuming the risk of information being lost or manipulated.
4. How much are you willing to pay for the solution?
I am willing to pay or invest whatever is necessary in the development of a system if the solution truly centralizes control, automates activity timers, and generates statistical reports on its own. I understand that it must be a tool focused on administrative productivity, justifying its use by drastically reducing hours of paperwork.
